Free PTO Accrual Calculator

Estimate how much paid time off you will have after a number of pay periods.

What is the PTO Accrual Calculator?

Estimate how much paid time off you will have after a number of pay periods.

Yearly PTO hours are days per year times hours in a working day, and that is divided by pay periods per year to get the amount accrued each period. The projected balance is your current balance plus that amount for each future period, limited by the cap if you set one.

Hours, dates and records are small details that cause big arguments when they are missing. Keeping a clean log protects everyone involved.

Tips for better results

Check your employer's policy on when accrual starts, whether time is front-loaded and what the cap is, since policies differ. If a cap applies, the pay periods to reach it show when you should use time off.

Record entries on the same day while they are fresh.

Keep dated copies. They are useful for invoices and disputes.

Privacy and where your data goes

Frequently asked questions

What does the balance cap do?

If you enter a cap above 0, the projected balance never exceeds it, and the calculator also shows how many pay periods it takes to reach the cap. Many employers stop accruing at the cap.

Why is the accrual per pay period a decimal?

Annual PTO hours rarely divide evenly by 26, 24 or 12 periods, so the per-period amount is shown to three decimals. For 15 days of 8 hours over 26 periods it is about 4.615 hours.

Is the pto accrual calculator free?

Yes. It is free to use with no signup, no watermark and no usage limits.

Is my data private?

Yes. Your inputs are processed in your browser and saved only in its local storage. They are not uploaded to our servers.

Does it work on mobile?

Yes. Zapxa works on phones, tablets and desktops. Use the print button or download a PDF to keep a copy.
